Trip Cancellation/Trip Interruption

In the event You are prevented from taking Your Flight because: (a) You, a Traveling Companion, or an Immediate Family member suffers an Injury, Sickness or death; or (b) You or Your Traveling Companion

(i) is hijacked, quarantined, required to serve on a jury, or subpoenaed;
(ii) has a home made uninhabitable by fire, flood, volcano, earthquake, hurricane, or other natural disaster;
(iii) is directly involved in a documented traffic accident while en route to departure;
(iv) is terminated or laid off provided that You or Your Traveling Companion has been an active employee for the same employer for at least one year. Termination must occur following the effective date of coverage;

The Insurer will pay benefits for:

Trip Cancellation: Non-refundable Flight cancellation charges up to Your total Flight cost. Special Conditions: You must advise Expedia, Inc. and the Plan Administrator at 1-(800) 954-4734, as soon as possible in the event of a Trip Cancellation claim. The Insurer will not pay benefits for any additional charges incurred that would not have been charged had You notified these parties as soon as reasonably possible.

Trip Interruption: The airfare paid, less the value of applied credit from an unused return travel ticket, to return to Your city of residence or rejoin the original Trip (limited to the cost of one-way economy airfare by a scheduled carrier, from the point of destination to the point of origin shown on the original travel tickets) up to your total flight cost.

IMPORTANT: The covered reason for cancellation or interruption of Your Flight must first occur after Your effective date of Flight cancellation coverage.

In no event shall the amount reimbursed exceed Your total Flight cost.

This insurance doesn’t cover any loss caused by or resulting from:

  • Sickness or disease except as provided for in the policy
  • War or any act of war whether declared or not
  • While serving as a member of the armed services
  • While or as a result of riding in any device for aerial navigation other than as provided for in the policy
  • Being under the influence of drugs or intoxicants unless prescribed by a duly licensed Physician
  • Participation in any felonious act or attempt thereat
  • Elective surgery
  • Elective, non-emergency dental treatment or surgery
  • Elective abortion
  • Normal pregnancy, unless hospitalized
  • Mental or nervous disorders, unless hospitalized

Trip Cancellation Claims

Contact Expedia, Inc. at 1-800-434-2370 to cancel your flight, then BerkelyCare, the Plan Administrator, as soon as possible to notify them of Your cancellation and to avoid any non-covered expenses due to late reporting. You will then be forwarded the appropriate claim form from BerkelyCare which must be completed by You AND THE ATTENDING PHYSICIAN, if applicable.

Trip Interruption Claims

Report Your claim as soon as possible to BerkelyCare and Expedia, Inc.. Provide the above plan number, Your reservation number, Your travel dates, and details describing the nature of Your loss. Upon receipt of this information, BerkelyCare will promptly forward You the appropriate claim form to complete.

In order to facilitate prompt Trip Interruption claims settlement, be sure to obtain medical statements from the Physician in attendance (if applicable) in the country where Sickness or Injury occurred. These statements should give complete diagnosis, stating that the Sickness or Injury prevented traveling on dates contracted. Return all unused transportation tickets and documents, with all official receipts, etc., directly to BerkelyCare.

This coverage can only be obtained during the same transaction as the travel it covers. This coverage is valid only upon payment of the total required plan cost in advance of any losses and will not cover any losses suffered prior to purchase. You are enrolled upon receipt of payment by Expedia, Inc. for the applicable plan cost (in addition to the amount due for Your Flight).

The Trip Cancellation coverage will become effective at 12:01 A.M. local time on the date payment is received by Expedia, Inc. and will terminate upon commencement of Your Flight.

The Trip Interruption protection takes effect at 12:01 A.M. local time at Your location on the contracted departure date of Your Trip and terminates on the earlier of the following: (a) Your return to Your origination point (as specified in the travel tickets); or (b) 11:59 P.M. local time at Your location on the day the Trip is scheduled to be completed.

Eligibility: This plan is available to U.S. and Canadian residents only.

Business Partner—Means an individual who is: (a) involved with You in a legal partnership; and (b) actively involved in the day-to-day management of the business.

Domestic Partner—Means a person who is at least 18 years of age and has met the following requirements for at least six (6) months: (1) resides with You; and (2) shares financial assets and obligations with You. The Insurer may require proof of the Domestic Partner relationship in the form of a signed and completed Affidavit of Domestic Partnership.

Flight—Means air arrangements processed and booked by Expedia, Inc.

Immediate Family—Means children, children-in-law, step-children, parents, parents-in-law, step-parents, siblings, siblings-in-law, step-siblings, grandparents, grandchildren, legal or common law spouse, (including Domestic Partner), aunts, uncles, nieces, nephews, or a Business Partner of You or Your Traveling Companion.

Injury—Means bodily injury caused by an accident occurring while this plan is in force and resulting directly and independently of all other causes in loss covered by this plan. The Injury must be verified by a Physician.

Insurer—National Union Fire Insurance Company of Pittsburgh, PA.

Physician—Means a licensed practitioner of the healing arts acting within the scope of his/her license. The treating Physician may not be yourself, a Traveling Companion, or an Immediate Family member.

Sickness—Means an illness or disease which is diagnosed or treated by a Physician after the effective date of coverage and while You are covered under this plan.

Traveling Companion—Means one person booked to accompany You on Your Flight.

Trip—Means scheduled travel for the time period specified on the airline ticket purchased through Expedia, Inc., not to exceed 30 consecutive days.

You or Your—Means a person who has purchased a Flight and who has paid the required plan cost for the coverage provided hereunder.

If you must cancel or interrupt your trip for a covered reason, the plan provides coverage for covered penalties and expenses up to the cost of your originally booked flight. In the event of an interruption, covered benefits include the new airfare paid, less the value of an unused return travel ticket, to return home or rejoin your trip (up to a maximum of the cost of the originally booked flight).

Covered reasons include illness, injury or death to you, a traveling companion or an immediate family member. Additional covered reasons for cancellation include jury duty, the issuance of a subpoena for court or administrative hearing, having a home made uninhabitable by a natural disaster, hijacking, quarantine, and being involved in a documented traffic accident en route to departure. Please refer to the Description of Coverage for full details.

There is no Pre-existing Condition Exclusion in the Flight Protection Plan.

Will my current home, renters, or credit card policies cover me during my trip?

Most people don't have any insurance coverage at all for penalties incurred when they need to cancel their flight. It is not a typical coverage found in homeowners and renters policies. Likewise, most credit cards do not offer trip cancellation coverage; however, check your documentation carefully to see if yours might.

When is payment for the plan due?

The plan must be purchased when your flight is purchased.

How do I enroll in the Flight Protection Plan?

The option to enroll is presented to you in the Featured Activities and Services section online while booking your ticket. If you would like to purchase the Flight Protection Plan, simply select it and the cost of the plan is automatically included in the total amount due for your trip. Simply pay the amount indicated to purchase the plan.

When does coverage go into effect and will it cover me for the entire length of my trip?

The Trip Cancellation coverage takes effect upon receipt of the required plan cost by Expedia. The Trip Interruption Coverage takes effect at 12:01 AM on your scheduled departure date and location. The plan will cover you for the entire length of your Expedia-booked ticket.

I am not a resident of the U.S. or Canada. Can I purchase the plan?

The Flight Protection Plan is available only to U.S. and Canadian residents who book their travel arrangements with Expedia.

What happens if I need to cancel my trip?

Please contact Expedia and BerkelyCare as soon as possible in the event of a claim, as the insurer will not reimburse you for any additional charges incurred due to a delay in notifying Expedia of your cancellation. BerkelyCare will then forward you the appropriate claim form in order to file a claim.

How do I file a claim?

You may request a claim form online via www.travelclaim.com or alternatively, call BerkelyCare, the plan administrator, at 1-800-954-4734 from 8:00 am to 10:00 pm EST Mon-Fri or 9:00 am to 5:00 pm EST Sat. Please note that you may want to have a copy of your Expedia invoice handy as there are some details that will be needed in order to initiate your claim. This information includes your travel dates, date of cancellation, booking number, and some brief information regarding your reason for cancellation or interruption. Important: Be sure to also contact Expedia to notify them of cancellations, as well as to avoid additional expenses due to late reporting.

Who is considered an "Immediate Family" member under the plan?

Our definition of "Immediate Family" is quite broad. It’s not just the family members who reside with you. "Immediate Family" includes: parents, spouses, domestic partners, grandparents, siblings, siblings-in-law, children, grandchildren, aunts, uncles, nieces, nephews, and business partners. See the Definitions section of the Description of Coverage for a full listing.

What happens if my traveling companion cancels his/her vacation but I still want to travel?

If a person booked to share accommodations with you cancels for a covered reason under the Package Protection Plan and you must pay a "change in occupancy" fee (or single supplement charge), the plan includes coverage for this expense.

Are there exclusions?

Certain restrictions do apply. For example, the coverage in the plan does not provide duplicate payments if there are other sources of reimbursement available. Please see the Description of Coverage for a full list of exclusions.

Is there a Pre-Existing Condition exclusion?

The Flight Protection Plan does not have a pre-existing condition exclusion. This is only a brief description of the coverage available under the Policy. The Policy may contain certain reductions, limitations, exclusions and termination provisions. Full details of coverage are contained in the Policy. If there is any conflict between the contents of this document and the Policy, the Policy shall govern in all cases. All coverages may not be available in all states.
