Cancellation Fee Waiver

Credit may be issued per applicable airline policies less airline change fees and Expedia, Inc. will absorb the change fees. The actual airfare could be higher at the time of rebooking; in that event the price differential would be your responsibility. You are allowed to change or cancel your trip for any reason one (1) time prior to the start of your trip.

Section 2

IMPORTANT: Insurance benefits in Section II are provided by National Union Fire Insurance Company of Pittsburgh, PA, a member company of American International Group (located in NY, NY) and administered by BerkelyCareSM, a division of Affinity Insurance Services, Inc. (located in Jericho, NY). All details outlined in Section 2 pertain only to the coverages and services indicated below.

Part A: Travel Arrangement Coverage

Trip Cancellation/Trip Interruption
In the event You are prevented from taking or continuing Your Vacation because: (a) You, a Traveling Companion, or an Immediate Family member suffers an Injury, Sickness or death; or (b) You or Your Traveling Companion ... See more

(i) is hijacked, quarantined, required to serve on a jury, or subpoenaed; (ii) has a home made uninhabitable by fire, flood, volcano, earthquake, hurricane, or other natural disaster; or (iii) is directly involved in a documented traffic accident while en route to departure; (iv) is terminated or laid off provided that You or Your Traveling Companion has been an active employee for the same employer for at least one year. Termination must occur following the effective date of coverage;

The Insurer will pay benefits up to Your Total Vacation Cost for:

a) Trip Cancellation—Non-refundable land, car and/or activities expenses prepaid to Expedia, Inc. for Your Vacation, and/or airfare cancellation charges for flights joining or departing Your Land Arrangements; or the additional costs You may incur as a result of a change in the per-person occupancy rate of prepaid travel arrangements if a person booked to share accommodations with You cancels his/her Vacation for a covered reason and You do not cancel.

Special Conditions: You must advise Expedia, Inc. and the Plan Administrator at 1-(800) 453-4079, as soon as possible in the event of a Trip Cancellation claim. The Insurer will not pay benefits for any additional charges incurred that would not have been charged had You notified these parties as soon as reasonably possible.

b) Trip Interruption—Unused, non-refundable land, car and/or activities expenses prepaid to Expedia, Inc. for Your Vacation, and/or the airfare paid, less the value of applied credit from an unused return travel ticket, to return to Your city of residence or rejoin the original Land Arrangements (limited to the cost of one-way economy airfare by a scheduled carrier, from the point of destination to the point of origin shown on the original travel tickets).

The Insurer will also pay benefits, up to $100 per day, for reasonable additional accommodation and transportation expenses incurred to remain near a covered traveling Immediate Family member or Traveling Companion who is hospitalized during Your Vacation.

Important: In no event shall the amount reimbursed exceed the amount You prepaid for Your Vacation.

PLEASE NOTE: You must be medically capable of travel on the day You purchase this plan. All covered reasons for cancellation or interruption of Your Vacation must first occur after Your effective date of Trip Cancellation coverage.

Trip Delay
The Insurer will pay benefits for Covered Expenses, up to $500 ($100 per day), if Your travel is delayed for 12 hours or more en route to or from Your Land Arrangements due to ... See more

(i) inclement weather, strike or other job action, or equipment failure of an Air Common Carrier;
(ii) lost or stolen passports, travel documents or money;
(iii) quarantine;
(iv) hijacking;
(v) natural disaster;
(vi) civil commotion or riot;
(vii) delays caused by a traffic accident, en route to a departure, in which You or Your Traveling Companion are not directly involved.

Covered Expenses include any prepaid, unused, non-refundable Land Arrangements, any reasonable additional expenses for meals and lodging, and the cost of a one-way economy airfare ticket to catch up to the Land Arrangements or return to the place of origin shown on the travel documents. This coverage is excess of any coverage provided by an Air Common Carrier or another party at no cost to You.

Excess Insurance Provision
The insurance provided under parts A, B and C shall be in excess of all valid and collectible insurance or indemnity and shall apply only when such other benefits are exhausted

Part B: Emergency Medical Coverage

Emergency Evacuation/Repatriation of Remains
The Insurer will pay benefits for Covered Expenses, up to $15,000, if an Injury or Sickness commencing during the course of the Vacation results in Your necessary Emergency Evacuation which is verified and approved as necessary by the attending Physician and AIG Travel Assist ... See more

(see Worldwide Emergency Assistance section). The Insurer will also pay Repatriation of Remains benefits for Transportation to return Your body to Your point of origin in the event of Your death during Your Vacation.

Emergency Evacuation means:

a) Your medical condition warrants immediate Transportation from the place where You are injured or sick to the nearest hospital where appropriate medical treatment can be obtained; and/or
b) after being treated at a local hospital, Your medical condition warrants Transportation to Your origination point to obtain further medical treatment or to recover.

Covered Expenses are reasonable and customary expenses for Transportation, medical services, and medical supplies necessarily incurred in connection with Your Emergency Evacuation AND recommended by the attending Physician. All Transportation arrangements made for Your evacuation must be by the most direct and economical route possible. Expenses for Special Transportation must be:

a) recommended by the attending Physician;
b) required by the standard regulations of the conveyance transporting You; AND
c) verified, approved, and arranged in advance by AIG Travel Assist.
Transportation means any land, water, or air conveyance required to transport You during an Emergency Evacuation. Special Transportation includes, but is not limited to, air ambulances, land ambulances, and private motor vehicles.

Additional Covered Expenses: If You are hospitalized for more than seven days following a covered Emergency Evacuation, the Insurer will pay: (a) to return Your accompanying dependent children under age 25 to their home, limited to the cost of one-way economy airfare, less the value of applied credit from an unused return travel ticket, with an attendant if necessary; and/or (b) up to the cost of round-trip economy airfare to bring a person chosen by You to and from Your bedside if You are alone. These expenses must be authorized in advance by AIG Travel Assist.

Repatriation of Remains means the cost, according to airline tariffs, of the shipment of Your deceased body to the point of origin shown on the original travel tickets. Covered Expenses include, but are not limited to, expenses for embalming, cremation, coffin for repatriation, and Transportation.

Please Note: The Insurer will not cover any expenses provided by another party at no cost to You or already included in the cost of the Vacation. In no event will the benefits paid for all covered Emergency Evacuation and Repatriation of Remains expenses exceed $15,000.

Accident & Sickness Medical Expense
The Insurer will reimburse You, up to $5,000, if You incur necessary Covered Medical Expenses as a result of an Injury or Sickness occurring while on Your Vacation ... See more

The accident causing such Injury must occur during Your Vacation, and the Sickness must first manifest itself during Your Vacation. You must receive initial treatment within ninety (90) days of the accident which caused the Injury or the onset of the Sickness. All services, supplies or treatment must be received within fifty-two (52) weeks of the date of the accident or the onset of the Sickness.

Covered Medical Expenses are necessary services and supplies which are recommended by the attending Physician. They include the services of a legally qualified Physician; charges for hospital confinement and use of operating rooms; charges for anesthetics (including administration x-ray examinations or treatments and laboratory tests); ambulance service; drugs, medicines, and therapeutic services and supplies. The Insurer will not pay benefits in excess of the reasonable and customary charges commonly used by providers of medical care in the locality in which the care is furnished.

The Insurer will pay the lesser of the following: original cash value of the item less depreciation as determined by the Insurer; or cost of repair or replacement. The maximum benefit per article is $500.

Part D: Travel Accident Coverage

death or loss of limb, eyesight, speech, or hearing within 365 days of the date of the accident, the Insurer will pay the largest applicable amount as follows: the benefit amount shown in the Schedule of Coverages for death, loss of speech and hearing in both ears, or loss of any combination of two hands, feet, or eyes; one-half the benefit amount for loss of any one of these; and one-quarter the benefit amount for loss of thumb and index finger of the same hand. In no event will the Insurer pay more than the maximum benefit amount shown on the Schedule of Coverages for all losses due to the same accident.

Beneficiary: Your estate, unless notice of a designated beneficiary is provided to the Plan Administrator.

Pre-Trip Health, Safety & Weather Information: AIG Travel Assist can provide updated information on passport and visa requirements, vaccination information, travel advisories, or even expected weather at Your destination.

Travel Changes: AIG Travel Assist can effect changes to Your itinerary should delays or cancellations affect Your flights or hotel reservations.

Lost Luggage Assistance: AIG Travel Assist can provide assistance in coordinating delivery or re-routing of misplaced luggage when checked with a common carrier.

Emergency Cash Transfer Assistance: If You need emergency cash during Your Vacation, AIG Travel Assist can help arrange a transfer through Your credit cards, family, friends, employer, or similar source.

Medical Consultation and Monitoring: Should You need local medical care during Your Vacation, AIG Travel Assist can assist in contacting Your personal Physician or family, if necessary, to provide information on the care You are receiving.

Emergency Legal Assistance: During the course of Your Vacation, You may visit many foreign countries. Should any problems arise requiring legal assistance, AIG Travel Assist can help You find English-speaking local counsel.

Coordination of Medical Payments: AIG Travel Assist can help coordinate payment of foreign medical bills. Physicians and hospitals worldwide can contact AIG Travel Assist to arrange transfers through Your credit cards, family, friends, employers or primary health insurer.

Lost Travel Documents Assistance: AIG Travel Assist's multilingual staff can provide assistance in handling unexpected complications such as lost passports, tickets, luggage, or other valuable travel documents or belongings.

National Union Fire Insurance Company of Pittsburgh, PA, BerkelyCare, and AIG Travel Assist assume no responsibility for the availability, quality, use, or results of any emergency service. You are responsible for obtaining, using, and paying for any such services.

Section II: Insurance Benefits

In Parts A & B:

  • Any loss caused by or resulting from sickness or disease except as provided for in the policy
  • War or any act of war whether declared or not
  • While serving as a member of the armed services
  • While or as a result of riding in any device for aerial navigation other than as provided for in the policy
  • Being under the influence of drugs or intoxicants unless prescribed by a duly licensed Physician
  • Medical treatment during or arising from a Vacation which is undertaken for the purpose or intent of securing medical treatment
  • Participation in any felonious act or attempt thereat
  • Elective surgery
  • Elective, non-emergency dental treatment or surgery
  • Elective abortion
  • Normal pregnancy, unless hospitalized
  • Mental or nervous disorders, unless hospitalized

In Part C:

Any loss of or damage to
  • Animals
  • Automobiles and their equipment
  • Boats
  • Motors
  • Motorcycles
  • Other conveyances and their equipment (except bicycles while checked as baggage with a common carrier)
  • Household furniture
  • Eyeglasses, sunglasses and contact lenses
  • Artificial teeth and dental bridges
  • Hearing aids
  • Prosthetic limbs
  • Money and securities
  • Tickets and documents
  • Sporting equipment, if loss or damage results from the use thereof

Or, any loss caused by or resulting from:

  • Breakage of brittle or fragile articles, such as cameras, musical instruments, radios and similar property
  • Confiscation or expropriation by order of any government
  • Theft or pilferage while left unattended in any vehicle
  • Mysterious disappearance

In Part D:

Any loss caused by or resulting from:
  • Suicide or attempted suicide while sane
  • Intentionally self-inflicted injuries
  • Participation in any professional, semi-professional or inter-scholastic team sports
  • Scuba diving
  • Skydiving
  • Hang gliding
  • Parachuting (not including parasailing)
  • Contests of speed

Trip Cancellation Claims

Call Expedia, Inc. at 1-800-EXPEDIA to cancel Your trip, then BerkelyCare, the Plan Administrator, immediately to notify them of Your cancellation. BerkelyCare will then forward You the appropriate claim form which must be completed by You AND THE ATTENDING PHYSICIAN, if applicable.

Emergencies during your vacation

For covered emergencies requiring evacuation or interruption of Your Vacation, call AIG Travel Assist immediately. Identify yourself by the above plan number and give the details of Your problem or medical emergency.

All other Claims

Report Your claim as soon as possible to BerkelyCare. Provide the above plan number, Your reservation number, Your travel dates, and details describing the nature of Your loss. Upon receipt of this information, You will promptly be forwarded the appropriate claim form to complete.

In order to facilitate prompt claims settlement, be sure to obtain as applicable:
Trip Interruption Claims: Medical statements from the Physician in attendance in the country where Sickness or Injury occurred. These statements should give complete diagnosis, stating that the Sickness or Injury prevented traveling on dates contracted. Return all unused transportation tickets and documents, with all official receipts, etc., directly to the Plan Administrator.

Accident & Sickness Medical Claims: Receipts from the treating Physicians, etc. stating the amounts paid and listing the diagnosis and treatment. Submit these first to other medical plans; then forward a copy of their final disposition of Your claim, as well as copies of the bills, to the Plan Administrator.

Trip Delay Claims: Submit verification of the airline’s mechanical or scheduling problems, and receipts for additional accommodation and traveling expenses.

Baggage Claims: Police reports or claim reports from parties responsible (e.g., airline, hotel, etc.) for loss, theft, or damage to personal belongings; receipts for items lost, stolen, or damaged; repair estimates, appraisals. Submit claim first to party(ies) responsible. Forward copies of the outcome of Your claim to the Plan Administrator with the appropriate documentation.

Baggage Delay Claims: Verification by the airline of the delay or misdirection of Your checked baggage, as well as copies of the receipts for the items purchased during the delay.

This coverage is valid only upon payment of the total required plan cost in advance of any losses and will not cover any losses suffered prior to purchase.

The Trip Cancellation coverage provided under Part A becomes effective and assistance services become available upon receipt of the required plan cost by Expedia, Inc. and ends upon the commencement of Your Land Arrangements.

The remaining coverages and services provided take effect at 12:01 A.M. local time at Your location on the contracted departure date of Your Land Arrangements and terminate on the earlier of the following: (a) Your return to Your origination point (as specified in the travel tickets); or (b) 11:59 P.M. local time at Your location on the day the Land Arrangements scheduled to be completed.

The duration of coverage shall be extended under the following conditions: (a) when You commence air travel from Your origination point (i) within 1 day before the commencement of the Land Arrangements, coverage shall apply until the time of return to the origination point: (ii) greater than 1 day before the commencement of the Land Arrangements, the extension coverage shall be provided only on the day of Your air travel; and (b) if You return to the origination point (i) within 1 day after the completion of the Land Arrangements, coverage shall apply until the time of return to the origination point; (ii) greater than 1 day after the completion of the Land Arrangements, the extension coverage shall be provided only on the day of Your air travel.

Eligibility: This plan is available to U.S. residents only.

Air Common Carrier—Means an air conveyance operating under a valid license for the transportation of passengers for hire.

Business Partner—Means an individual who is: (a) involved with You in a legal partnership; and (b) actively involved in the day-to-day management of the business.

Domestic Partner—Means a person who is at least 18 years of age and has met the following requirements for at least six (6) months: (1) resides with You; and (2) shares financial assets and obligations with You. The Insurer may require proof of the Domestic Partner relationship in the form of a signed and completed Affidavit of Domestic Partnership.

Immediate Family—Means children, children-in-law, step-children, parents, parents-in-law, step-parents, siblings, siblings-in-law, step-siblings, grandparents, grandchildren, legal or common law spouse (including Domestic Partner), aunts, uncles, nieces, nephews, or a Business Partner of You or Your Traveling Companion.

Injury—Means bodily injury caused by an accident occurring while this plan is in force and resulting directly and independently of all other causes in loss covered by this plan. The Injury must be verified by a Physician.

Insurer—Means National Union Fire Insurance Company of Pittsburgh, PA.

Land Arrangements—Means land, car and/or activities arrangements made by and prepaid to Expedia, Inc.

Physician—Means a licensed practitioner of the healing arts acting within the scope of his/her license. The treating Physician may not be yourself, a Traveling Companion, or an Immediate Family member.

Sickness—Means an illness or disease which is diagnosed or treated by a Physician after the effective date of coverage and while You are covered under this plan.

Traveling Companion—Means one person booked to accompany You on Your Vacation.

Vacation—Means Land Arrangements and shall include flight connections to join and depart such Land Arrangements.

You or Your—Means a person who has purchased a Vacation and who has paid the required plan cost for the coverage provided hereunder.

Trip Cancellation and Trip Interruption
If you must cancel or interrupt your trip for a covered reason, the plan provides coverage for covered penalties and expenses up to the cost of your originally booked vacation package.

Covered reasons include illness, injury or death to you, a traveling companion or an immediate family member. Additional covered reasons for cancellation include jury duty, the issuance of a subpoena for court or administrative hearing, having a home made uninhabitable by a natural disaster, hijacking, quarantine and being involved in a documented traffic accident en route to departure. If you should miss the departure of your vacation due to Air Common Carrier caused delays or other reasons including a quarantine; hijacking; natural disaster; civil commotion or riot.; or delays caused by a traffic accident, en route to a departure, in which you or your Traveling Companion are involved, there is coverage to reimburse you up to $500 per person for costs such as accommodations, meals, and transportation expenses in order to catch up to the trip or to return home.

Emergency Evacuation/Repatriation of Remains
If an injury or illness requires emergency medical transportation to the nearest adequate medical facility, the plan includes coverage for up to $15,000 for covered transportation expenses. In the event of your death, the plan includes coverage for up to $15,000 toward the covered expenses associated with transporting your remains.

Medical Protection
If you become ill or injured while on your trip, the plan includes coverage to reimburse you to $10,000 in covered medical expenses. Medical coverage while traveling overseas is particularly important as Medicare and some HMO's may not cover medical expenses incurred outside the U.S. Note that medical coverage is excess to any other insurance you may have for these expenses.

Baggage Protection
If your baggage and/or personal effects should become lost, stolen or damaged during or while in transit to or from your trip, the plan includes coverage to reimburse you up to $1,000. The plan also includes baggage delay coverage, for up to $500 for the purchase of necessary items in the event your luggage is delayed by a common carrier for more than 24 hours during your trip. Note that baggage coverage is excess to any other insurance you may have for these expenses.

24-Hour Worldwide Emergency Assistance
24-hour emergency telephone assistance hotline provided by AIG Travel Assist to help with travel-related emergencies ranging from cash transfer, legal, dental, or medical referral, lost travel documents assistance as well as medical consultation and monitoring.

Will my current home, renters, credit card, or health insurance policies cover me during my vacation?

The Package Protection Plan has a wide range of travel benefits which credit card, homeowners, and renters insurance policies often do not offer. Other insurance policies may not offer coverage while you travel due to benefit limits, territory restrictions, and deductibles. Most people don't have any insurance coverage at all if they must cancel their trip, and even if they do, reimbursement for cancellations due to any reason is rare. Homeowners and renters plans may offer coverage for lost possessions. However, these plans may not fully cover your loss fully due to high deductibles.

The medical coverage included in the Package Protection Plan may be valuable for people whose health insurance policies do not pay for covered medical expenses incurred outside of the United States (e.g., Medicare, certain HMOs, etc.). Even if it your insurance does, you may not be covered for the full amount due to deductibles and co-insurance. Plus, many plans do not pay for evacuations, which can be very expensive. Of course, having your own medical coverage does not insure you against cancellation.

Many credit cards have only limited coverage and assistance service, with only a few including coverage to reimburse in the event of a cancellation or an evacuation. Check your credit card documentation carefully.

Please contact Expedia and BerkelyCare as soon as possible in the event of a claim, as the insurer will not reimburse you for any additional charges incurred due to a delay in notifying Expedia of your cancellation. BerkelyCare will then forward you the appropriate claim form in order to file a claim.

What happens if my traveling companion cancels his/her vacation but I still want to travel?

If a person booked to share accommodations with you cancels for a covered reason under the Package Protection Plan and you must pay a "change in occupancy" fee (or single supplement charge), the plan includes coverage for this expense.

What happens if my flight is delayed or cancelled?

Please also note that should you require follow up care for your illness or injury once you return home, the plan includes continued medical coverage for up to 52 weeks from the onset of the illness or injury, or until you have exhausted the coverage limit. In the event of a medical emergency while traveling, the plan also includes emergency assistance services through AIG Travel Assist. Should your medical condition necessitate your medical evacuation to another facility or home, these arrangements are made by AIG Travel Assist.

You may request a claim form online via www.travelclaim.com or alternatively, call BerkelyCare, the plan administrator, at 1-800-954-4734 from 8:00 AM to 10:00 PM EST Mon-Fri or 9:00 AM to 5:00 PM EST Sat. Please note that you may want to have a copy of your Expedia invoice handy as there are some details that will be needed in order to initiate your claim. This information includes your travel dates, date of cancellation, booking number, and some brief information regarding your reason for cancellation, or other type of loss (i.e., trip delays, baggage loss or delay, medical claims, etc.). Important: If you are canceling your vacation, be sure to also contact Expedia to notify them of the cancellation, as well as to avoid additional expenses due to late reporting. For covered emergencies during your trip which require evacuation, interruption, or other travel-related emergencies, call AIG Assist at the telephone number provided with your travel documents and provide them with your plan number and emergency details.

Who is considered an "Immediate Family" member under the plan?

Our definition of "Immediate Family" is quite broad. It's not just the family members who reside with you. "Immediate Family" includes: spouses, domestic partners, parents, grandparents, siblings, siblings-in-law, children, grandchildren, aunts, uncles, nieces, nephews, and business partners. See the Definitions section of the Description of Coverage for a full listing.

Are there exclusions?

Certain restrictions do apply. For example, the coverage in the plan does not provide duplicate payments if there are other sources of reimbursement available. Please see the Description of Coverage for a full list of exclusions.

Is there a Pre-Existing Condition Exclusion?

The Package Protection Plan does not have a pre-existing condition exclusion.
